Job Description
Road Warrior Staffing is seeking an experienced Project Coordinator II for a temporary assignment in Brea, California. This position will provide administrative, financial, operational, and logistical support to a field operations team while helping coordinate projects, customer requests, materials, orders, and service activities.
The ideal candidate will have experience with order entry, order processing, project coordination, operations support, or administrative work and be comfortable managing multiple requests and deadlines in a fast-paced environment.
This role requires strong attention to detail, organizational skills, accuracy, and the ability to coordinate information between field operations, sales, customers, technicians, and other internal teams.

Monday–Friday
7:00 AM–4:00 PM
Full-time temporary assignment
Approximately 4–6 months
Pay
$23.00–$26.00 per hour
Pay based on experience and qualifications
Duties
Project Administration
Maintain current knowledge of project schedules and operational requirements.
Maintain and track accurate, up-to-date project documentation.
Monitor inventory levels to help support project and customer needs.
Coordinate administrative tasks necessary for effective project execution.
Participate in internal and external training or certification programs as required.
Perform additional duties as assigned by management.
Order & Financial Management
Process and manage sales orders and purchase orders.
Enter and maintain accurate order information.
Process invoices, credits, concessions, and related documentation.
Reconcile projects to ensure accuracy of costs, billing, and documentation.
Process requests for subcontractor payments and approvals.
Maintain and update financial tracking spreadsheets.
Assist with project billing and financial projections.
Participate in meetings with Project Managers regarding billing and project financial tracking.
Maintain accurate records throughout the project lifecycle.
Field Coordination & Logistics
Review service requests to ensure scopes of work, cost estimates, and pricing information are complete.
Assign and dispatch qualified technicians or subcontractors based on project scope and scheduling requirements.
Coordinate deliveries to ensure materials arrive on schedule and in proper condition.
Procure materials required for field service activities.
Coordinate material pickups with field personnel.
Review completed jobs for accuracy and completeness before customer invoicing.
Coordinate and process product returns, warranty parts, and proof-of-delivery documentation.
Communicate with internal teams and field personnel to resolve project and logistical issues.
Track multiple projects, requests, and deadlines simultaneously.
Qualifications
Minimum Requirements
High school diploma or equivalent.
1–3 years of experience in order processing, project coordination, operations support, or administrative roles.
Previous order entry experience required.
Experience working with high-volume transactional workflows.
Experience with sales orders, purchase orders, invoicing, logistics, or similar administrative processes.
Strong attention to detail and accuracy.
Ability to manage multiple priorities, requests, and deadlines.
Strong written and verbal communication skills.
Proficiency with Microsoft Office, including Excel and Outlook.
Ability to work independently and as part of a team.
Strong organizational and time-management skills.
Preferred Experience
Experience with ERP systems or order management software.
Experience with project tracking or financial tracking systems.
Experience coordinating deliveries, materials, technicians, or subcontractors.
Experience supporting field operations, service operations, construction, HVAC, controls, equipment, or similar industries.
Familiarity with Access, HVAC-related software platforms, or Sage is a plus.
